LastPass Creates and stores secure login IDs and passwords for all your sites. Even better, set it to automatically log in when you visit the page. Saves time and your sanity!
Trello Free and fun project and task management for people who like to drag-and-drop with pretty interfaces. The paid version allows you to assign tasks and track progress with your team.
iDoneThis Really simple task reporting. It send you an evening email asking you what you got done today. The next day you get a digest with what everyone on the team reported. Free for 1 person, or paid options for team reporting.
Toggl Easily track the time you spend on tasks and projects using your computer or smartphone.
Bubbl.us Easily flow chart a process or create a mind map. Flow charting your processes is great for training new hires.
Siri (iPhone) If you haven’t discovered how to use Siri to manage your calendar and do all kinds of tasks for you, you’re missing out. Cold Turkey Pushing a deadline and need to stop all distractions? Cold Turkey will temporarily block you off of social media sites, addicting websites, games and even programs to keep you focused!

Goformz Ditch paper and create mobile forms to capture a new client’s data electronically!

Pixlr Free photo editing software similar to Photoshop.
Canva, QuoteCover & PicMonkey Create those cute little motivational images using their images or your own. Also allows you to create your Social Media cover images, ads and more.
Tableau Create nice graphs of data for marketing on blogs, social media or in your print materials
Placeit.net Embed your website, app, or image on the screen of a laptop or mobile device. Great for creating an ad image.

Buffer Quickly schedule social media updates by simply filling your ‘buffer’. Great clean interface. It even suggests content ideas for you. Fill your buffer for the week and let it run. The paid version has an unlimited buffer and great analytics.
Hootsuite Manage all your social accounts in one place. Great for sorting out your Twitter fan feeds and scheduling posts for the future on Twitter, Facebook and LinkedIn.
Bitly Shorten URL Links and track your click-through statistics.
Tweepi Manage your Twitter followers, find new people to follow and flush your un-followers to keep your account in balance.
Followerwonk Free stats and insights on your Twitter followers.

Information Management
Google Analytics Get amazing amounts of information about your website visitors and their surfing habits. Download one of the many mobile apps, and you can review your results anywhere.
Dropbox Store your files in the cloud and easily share them with others. Dropbox keeps a copy on all your connected devices and in the cloud so you files are always backed up.
Evernote Never lose an idea again. Store your notes, emails, bills, ideas, articles, website discoveries and more in the cloud. Access your info from any device. Searches the text of everything in seconds, even photos of handwritten notes! Google for ideas on how to use it for your business model (i.e., Evernote for Photographers)
Marketing Aids
Google Alerts Monitor the internet for mentions of you, your brand, or anyone else. Sends you an email summary if something you’re tracking is mentioned.
HelloBar A really easy way to invite people to subscribe to your newsletter. HelloBar adds a sign-up bar across the top of your website. You can customize the colors & text then link it to your MailChimp account and start growing your list! EZ!
Populr Create one page websites (“landing pages”) for special events or specific marketing purposes.
CourseCraft Create a full e-course for free and only pay when someone pays you. Wish I would have known about this one earlier!
Email Tools
Boomerang for Gmail Helps you read and reply to incoming email at the appropriate time. Boomerang lets you schedule emails to send later, or come back to you at a more appropriate time…hours or days later. It also reminds you if someone fails to reply on time…and other really great features.
Rapportive for Gmail Fills the sidebar of your Gmail screen with the sender’s social media information, picture, and recent posts.
Canned Response Another Gmail tool but you can do this in about any email system. Store and grab your frequently used responses (like directions to your office). Here’s a cute video on how to install & use the Gmail version: http://ti.me/1oIWVCo  For Mac, use multiple “signatures”.
MailChimp This is the best free email marketing service for small businesses who want to keep things simple. Build your list using HelloBar and send them your newsletter or a special offers from MailChimp. Paid versions allow you to set up auto response emails and accept more subscribers.

    Hi Patty! It looks like Insightly has made some nice upgrades since I last looked into them. I have a friend who uses their free project management service to coordinate with VAs. They still don’t have a bulk email service included, so you’d have to connect a MailChimp account. I usually recommend AddressTwo for most small businesses. A little more money, but you get all the services, plus automated email follow-up campaigns and, my favorite: real postcards. (A side note, I use PremiumWebCart – but it’s much more elaborate than most SMBs need.)
